Saint Peter's Department of NJ COVID-19 Vaccine Grant is seeking a Clerical Assistant to join the team on a temp-to-perm basis.
Schedule:
Hybrid: some days - Remote, some - reporting to Easton Avenue, New Brunswick (Main Hospital), some days - reporting to How Lane, New Brunswick (Family Health Center), Piscataway (Business Office) and some days - Remote.
Hours:
Flexible: mostly morning hours, 20 hours/week. Temporary - to - Permanent, Part Time Role.
Clerical Assistant performs a variety of clerical and general secretarial duties such as: timecard review, general correspondence, answering phones, relaying confidential information, maintaining departmental files, and assisting with departmental functions. Uses discretion and judgement when screening visitors and telephone calls, relaying confidential information, and planning and organizing workload to ensure established priorities are met.
You need:
- High school diploma and prior office experience in a hospital setting strongly preferred.
- Strong interpersonal and communication skills.
- Knowledge of Microsoft Office Suite.
- English/Spanish language skill is highly preferred.
You will:
- Assist with the preparation and documentation of employee timecards.
- Assist with follow-up for check requests/payments and orders for laboratory supplies/inventory.
- Receive, screen visitors and telephone calls for the department. Respond to general inquiries or routes to appropriate personnel in a courteous and professional manner.
- Prepare non-complex reports and records, which may be confidential in nature.
- Handle confidential data in accordance with department and Hospital policies and procedures.
- Receive and screens incoming department correspondence, reports, memos, and mail, and prepares appropriate response and/or distributes to appropriate personnel.
- Maintain contacts inside and outside Hospital to obtain and/or relay information, gather data, arrange meetings, research problems, etc.
- Provide information to inquiries concerning general department activities and operation in accordance with department procedures.
Pay Grade: 110
