Customer Relations Specialist
Full-Time, Non-Exempt

The Customer Relations Specialist is responsible for ensuring the company’s objectives are met in the areas of recording customer transactions and providing customer service resulting in complete customer satisfaction, a cost-effective operation and the security of company assets.

Duties and Responsibilities:

  • Ensures total customer satisfaction through courteous service and expedient handling of customer orders, service calls and general questions.
  • Answers incoming calls with the Hutson’s Big Sandy greeting using proper phone etiquette.
  • Issue, receive and store material, supplies and equipment according to established company policies and procedures.
  • Processes cash, checks, credit/gift card transactions and financing contracts.
  • Counts money to verify amounts and issues receipts for funds received per company policies and procedures.
  • Posts all payments to the customer account in the system.
  • Reconciles cash drawer with the CDR (Cash Drawer Report) prior to the next business day’s opening. o Verifies cash and removes nightly deposit from the drawer. o Prepares deposit to go to the bank. o Closes the drawer in the system via CDB (Cash Drawer Balance).
  • Accepts responsibility for safety and security of all Company property in assigned area.
  • Maintains equipment and work area in a clean and orderly condition.
  • Maintains records and files in an orderly condition.
  • Regularly communicates the needs of customers, staff and/or the store with management.
  • Provides support to customers using various types of communication, such as telephone, email, online chat, and/or regarding common issues such as: o Inquiries with regard to items being damaged on delivery. o Inquiries regarding financing options. o Inquiries regarding incorrect terms on financing options. o Inquiries to schedule a delivery or pickup. o Start the service process for a customer. o Inquiries regarding the status of a work order or ordered parts for a repair. o Assist customers who have not heard from service or sales professionals.
  • Ensures that appropriate actions are taken to resolve customers problems and concerns.
  • Maintains customer accounts and records of customer interactions with details of inquiries, complaints, or comments.
  • Uses knowledge of a specific product, service, or other assigned area of expertise to answer inquiries or to forward to the appropriate staff.
  • Copies, collates, and otherwise prepares reports for mailings, meetings, and other correspondence.
  • Performs other related duties as assigned.

Required Skills and Abilities:

  • Ability to greet visitors, clients, and colleagues in a friendly and courteous manner.
  • Ability to type at least 50 wpm.
  • Ability to proofread.
  • Proficient in Microsoft Office Suite or similar software.
  • Basic understanding of office equipment.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently and identify and solve problems.
  • Ability to organize and prioritize work.

Educations and Experience:

  • High School Diploma or GED
  • Microsoft Office proficiency
  • Customer service experience required.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
