Department Level Secretary - Outpatient Services South Campus Job at Opelousas General Health System
Full time position available at Medical Imaging south campus.
Assists with the day-to-day activities of the Outpatient Services at south campus to in meet the needs of its patients. This includes organizing data and resources, communication with employees and physicians either verbally or in writing and organizing meetings and including designing reports and other materials.
Essential Duties and Responsibilities
- Acquires proper telephone etiquette.
- Performs a wide variety of typing assignments, report, memos, and letters utilizing word processing software.
- Designs brochures, reports, etc. to communicate findings of the department
- Good communication skills using AIDET.
- Coordinates meetings and schedules for the Medical Imaging Manager and Radiologist.
- Performs all other duties as assigned by the Medical Imaging Manager.
- Responsible for proper channel of communication within the department regarding the day to day operations in: Secretarial / Transcription / Radiologist specific duties.
- Attends department meetings, takes and transcribes minutes of these meetings in a timely manner.
- Attends other hospital meetings at the request of the department manager and reports on meeting to the appropriate Supervisor.
- Responsible for typing and filing functions within the Secretarial and maintains data collection.
- Makes recommendations to the Department Manager for any necessary changes in the Secretarial.
- Promotes the dignity of each department member.
- Assists in maintaining a clean, well run area, not seeing this as someone else’s duties exclusively.
- Aware of the value of each department and all hospital personnel as they relate to Medical Imaging Department.
- Aware of and familiar with policies, procedures, and regulations affecting the Medical Imaging Department.
- Aware of potential safety hazards to ensure patient and employee safety.
- Ensures the reporting of potential safety hazards to assure patient and employee safety.
- Performs and carries other reasonable requests or duties which may be made or assigned to from time to time by the Manager of Medical Imaging.
- Actively participates in the collection of data for the QC, QA.
- Familiar with, utilizes, follows and refers to the Policy and Procedure Manual and Procedure Protocols of all duties, as well as following the OGHS Employee Handbook of Personnel Policies.

- Responsible for daily dissemination of Medical Imaging Reports in a timely manner.
- Responsible for sending all Medical Imaging Reports to physicians on daily basis when needed.
- Cooperates as a member of the department and overall hospital team.
- Performs related work as required.
- Assist with clerical functions.
Education: High School Diploma/GED required.
Additional Experience Preferred
- Advanced typing, computer and related skills.
- Ability to carry on many functions in an organized manner at the same time; answer phones, office operations.
- Medical Terminology knowledge.
- Meets requirements of Employee Health and Human Resources for new employees.
- Ability to operate and handle many kinds of complex equipment.
- Ability to communicate effectively both verbally and in writing.
- Knowledge of hospital functions, role of different hospital departments, and general requirements of hospitals in relation to TJC, Standards of Practice, etc.
- Above average communication, language and interpersonal (analytic) skills.
- Advance computer knowledge.
- Appropriate understanding and knowledge of modalities for Image Management
