Job Summary – Aramark Uniform Services is seeking a talented, motivated Executive Administrative Assistant to join the Corporate Finance team. This position will principally support the Chief Financial Officer and investor relations. We are seeking a proactive individual who is a self-starter and who can work in a team environment while juggling multiple confidential and time-sensitive projects. This individual will interact regularly with all levels of the organization as well as external Board of Director members, investors and others on a variety of assignments and initiatives. A highly resourceful individual with strong emotional intelligence, self-motivation, integrity, and commitment to superior service will excel in this role. Exceptional organizational skills coupled with excellent communication skills are key. Working in a tight-knit team and bringing ownership, optimism, and collaboration to the workplace every day is crucial.
Core Job Duties/Responsibilities
- -Effectively manage, coordinate and organize daily and recurring activities of the Senior Vice President and Chief Financial Officer and other department heads (namely, Investor Relations and Planning and Analysis) including calendar management, travel assistance (domestic and international), and other general support requirements.
- -Assist with Board of Director meeting preparation and coordination. Prepare documents for senior executive as well as Board of Directors meetings using Microsoft Word, PowerPoint, and Excel. Provide back up support to the Corporate legal function for third-party board portal system.
- -Prepare a variety of Senior Level Presentation materials with minimal instruction and supervision. Familiarity and use of excel spreadsheets required.
- -In support of Investor Relations function, assist in the planning, scheduling, and executing of investor meetings and conferences.
- -Prioritize projects and deliverables, pro-active in nature and able to bring issues to completion on time. Very detail oriented.
- -Assist in the execution, organization and tracking of Company finance documents and associated filings.
- -Arrange C-level meeting logistics as needed, including the use and set-up of conference calls, webinars, video, etc. via MS Teams and Outlook.
- -Assist the CFO and team with the preparation and management of the Corporate Department budget.
- -Balance conflicting priorities to manage workflow, ensure the completion of essential projects, and meet critical deadlines.
- -Develop and maintain procedures and processes for finance Department and support additional ad hoc projects as needed and assist with and drive process improvement initiatives within the department.
Skills and Experience
- -Bachelor’s Degree or equivalent experience is strongly preferred.
- -Minimum 7+ years’ experience providing C-level support for a public company.
- -Advanced knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint), SharePoint, Adobe, ERP systems, third party Board portals, e-billing systems, and MS Teams.
- -Strong ability to take direction, but also exercise judgment and independent thought.
- -Superior written and verbal communication skills.
- -Proven ability to handle confidential information with the utmost discretion and sensitivity.
- -Strong organizational skills, including task prioritization with minimal supervision, and ability to complete required tasks by given deadlines. Detail oriented.
- -Strong proactive approach, taking the initiative where appropriate, and looking beyond the immediate ask to anticipate a future need or requirement.
- -Recognize priority, understand complexity of a situation / interdependencies and use sound judgment to make decisions.
- -Works calmly under pressure.
- -Assertive approach to management of executive's time and proactive communication/support when meetings or other activities change.
- -Previous experience working in a public company CFO department required
