About the Role
This role drives consistency, collaboration, and enablement at the heart of our growing restaurant company. The Executive Administrator to the CEO will work with the CEO and secondarily to support the head of operations within a wider team to optimize schedules, enable preparation for key events, direct administrative activities of the organization, and streamline communication. You will also manage our office operations. Ultimately the goal of the role is to be at the center of communications for the CEO, both internally and externally, in collaboration with the other members of the Leadership Team. Responsibilities will include effectively prioritizing, managing and coordinating the CEO’s schedule, planning travel and making necessary logistical arrangements, drafting and/or preparing CEO communications and presentations, keeping the CEO optimally organized and effective in his internal and external activities, accompanying him at meetings (if required), taking notes and ensuring effective and timely follow-through on contacts made and networking carried out by the CEO, and other administrative tasks designed to maximize the efficiency and productivity of the CEO as necessary. Additional responsibilities for the role include providing a strategic and analytical approach to presentation creation, investor interface, and board support along with the ability to write briefs and create presentation content based on the needs of the CEO. Management of corporate hospitality in a refined fashion will be critical to success in the role, while managing highly confidential CEO information and emails to better allow for deeper task management and external communications complete the role. Finally, the Executive Administrator to the CEO will need to attend executive meetings, document action items and manage their delegation. Future staff management will encompass overseeing, directing, and coordinating the work of lower level staff and participating in the development and administration of department goals, objectives, budgets and procedures.
Requirements:- Manage the principals’ professional/personal calendars; prioritize and schedule meetings, calls, events, travel, and accommodation.
- Prioritize incoming calls and emails, and ensure timely response; either assigned to a Principal, to team members, or handling directly.
- Anticipate and prepare research/materials needed for Principals’ correspondence, appointments, meetings, travel, phone calls, etc.
- Support decision-making through filtering information and communicating the salient points clearly.
- Ensure priority tasks are resolved and schedule new/unplanned tasks appropriately.
- Maintain discretion and judgment in handling confidential information.
- Work with facilities coordinator to maintain office organization, operations, standards, and procedures; plan and implement changes as needed.
- Work with our accounting team to administer accounts payable, accounts receivable, expenses, and invoicing; review and approve supply requests. Submitting various invoices from GMs via email and slack, contacting vendors to correct addresses and billing issues
- Plan work retreat events: coordinate lodging, travel, meals, presentation logistics, as well as gathering/editing presentations as needed. Confirm approved expenses for traveling staff members. Work within the budget
- Holiday party planning: High level event for leadership plus significant others 20-30 people. Larger event for all restaurant staff plus leadership 150-250 people.
- Plan department/corp/board meetings and Happy Hours at HQ. Presentation editing, menus, drinks, booking conference rooms, possible dinner reservations for BOD.
- Investor relations – gift cards, assist with investor newsletter, sending out investor tax forms with correct password protection – Be able to write and execute an investor update at the highest level
- Mail, Scanning all mail and distributing it appropriately throughout the organization
- Banking – Confirming credit card activity. Monthly wire transfers. Depositing paper checks. Write checks.
- Help other department heads as required with various tasks
