Job Location – Asheville, NC
The primary location of this position is at WCU’s Biltmore Park instructional site located in Asheville, NC.
This position is vital for WCU Programs in Asheville, serving as a lead point of contact for all of the staff in the unit as well as the faculty and staff from other programs located at the instructional site in south Asheville at Biltmore Park.
This position manages the front desk and reception operations for the administrative offices at WCU Biltmore Park, and oversees office operations for the unit.
It manages the calendar, email, and travel processes for the Executive Director, and Assistant Director as well as the departmental calendar and scheduling of the main office. This position is also expected to review and edit important documents and materials, compile and develop various reports at the request of the Executive Director and others in the unit as well as record minutes and action items from meetings, often following-up with staff members on key points and initiatives.
The position also serves as a backup for the program’s budget officer for purchase approvals, budget information, deposit reconciliation, and funding recommendations.
The position works with the Assistant Director in providing an array of services for the students at WCU Programs in Asheville.
It also works hand-in-hand with the Facilities Manager of the Biltmore Park Instructional Site including reservations, events, and facility operations.
The position works with the Division of Education Outreach in the execution of professional development and continuing education programs conducted at the Biltmore Park Instructional Site.
It also works closely with the University’s Marketing and Communications Department to manage WCU Programs in Asheville’s web and social media presence.
The position maintains a wide range of confidential data including (but not limited to) departmental records, personnel files, historical archives and policy/procedure documentation.
When deemed necessary by the Executive Director, this position may occasionally act as a liaison for the Executive Director, representing them at events and meetings.
The position will occasionally need to drive and perform job-related errands for the unit.
The position is expected to communicate at a high level with both on and off campus partners, constituents and customers. A strong commitment to customer service and excellent oral and written communication skills are critical. Success in the unit hinges directly on positive working relationships with other departments on campus and this position must help foster these relationships as well as help identify and troubleshoot pain points or barriers.
Knowledge, Skills, & Abilities Required for this Position
Experience with and working knowledge of Word and Excel
High level of customer service expertise
Excellent writing skills
Excellent verbal communications skills
Valid drivers license and regular access to a vehicle
Minimum Qualifications
High school diploma or equivalency and three years of progressively responsible administrative/office management experience;
or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

1-2 years of work as an administrative assistant.
