Cass Health is seeking a motivated and energetic Executive Assistant to join our award-winning team in Atlantic, Iowa. The Executive Assistant will provide professional-level administrative support to members of the Administrative Leadership Team including conducting research, preparing statistical reports, handling information requests, managing projects, preparing correspondence, receiving visitors, coordinating conference calls, and scheduling meetings for executives.
An associate degree in business, communication, or a healthcare-related field is required. A bachelor’s degree is preferred. Previous administrative/clerical experience is required. Previous healthcare administrative assistant experience preferred. Must be capable of complex and independent decision-making in a face-paced environment and perform well under pressure. Must be able to handle highly confidential information, have above-average people and customer service skills, effective oral and written communication skills, and highly developed problem-solving skills.
Key Responsibilities:
- Understands and maintains compliance with public meeting laws.
- Knowledge and experience in information privacy laws, access, release of information and release control activities.
- Possesses proven oral and written communication skills. Uses proper grammar and basic medical terminology.
- Maintains an effective working relationship with internal and external customers.
- Demonstrates high moral and ethical character – maintaining strict confidentiality of sensitive information.
- Exhibits independence, objectivity, and attention to detail.
- Works effectively with the Administrative Team, Medical Staff and Board of Trustees and handles contacts with influential hospital or community leaders sensitively and professionally.
- Demonstrates good judgment in the interpretation of policies and procedures and understands the organizational and political structure of the hospital.
- In absence of executives(s), effectively uses available resources to make minor administrative decisions. Prioritizes communications, correspondence, and tasks for executive(s).
- Proficient in the use of Microsoft Office tools including, but not limited to Teams, Word, Excel, Outlook, OneDrive, and PowerPoint to produce correspondence and documents and maintain minutes, presentations, graphs, calendars, record, spreadsheets, and database.
- Competent with basic information technology troubleshooting skills to navigate hardware or software technological challenges, including office equipment, computers, audio/visual equipment, projectors, microphones, telephones, fax machines, etc.
- From a variety of platforms, including organizational electronic health record, retrieves, compiles, and stores data to create reports as needed by the administrative team.
- Efficiently and accurately arrange and schedule appointments for executives with internal and external personnel.
- Ensuring executives are in the right place, at the right time, with the right materials and information, and are briefed on the purpose and intentions of all meetings prior to meeting times and may include preparing executive summaries.
- Responsible for ensuring the accurate and on-time execution of secretarial and administrative duties including transcription, file and document management, call screening, third-party requests, processing mail, and office organization.
- Responsible for making and managing executive travel plans as necessary.
- Attends meetings of the Administrative Team, Board of Trustees, Leadership Team, and Medical Staff, et al; prepares and coordinates agendas, materials, and education; accurately prepares minutes in a timely manner. Completes follow-up and follow-through on actions taken at meetings.
- Coordinates venues, facilities, food service, and other accommodations.
- Reviews and directs invoices for approval and signature.
- Schedules non-employed providers to clinical shifts.
- Coordinates daily tasks to achieve maximum productivity and efficiency, completing projects in a timely manner.
