Executive Assistant Job Duties & Responsibilities
Salary Range: $60,000 - $70,000
HBS, LLC, a healthcare and life sciences consulting firm, is actively seeking a skilled Executive Assistant to support their C-Suite Executives. The ideal candidate has an expert level attention to detail and is confident that they can multitask in a fast-paced environment. This is an on-site position that will be based in our Yardley, PA corporate office. This position will also require travel from time to time to support events such as retreats and Board of Director meetings.
About You:
- 3+ years of experience providing top-tier administrative support to C-level executives.
- Bachelor’s degree is preferred.
- A dynamic communicator who can build rapport and relationships quickly.
- Proven ability to adapt and adjust priorities in an ever-changing professional environment.
- Excellent organizational and prioritization skills
The Job:
- Provide the highest level of quality administrative support to the CEO, COO, CFO, and Business Unit Leaders as needed.
- Create detailed travel arrangements, itineraries, and secure lodging, meals/events, etc.
- Oversee and manage multiple complex calendars, schedule, and coordinate all meetings and events.
- Process expenses when needed, and prepare specific reports, presentations, email and other correspondence for the executive team.
- Take meeting minutes for certain executive meetings, including but not limited to, Board meetings/meetings with private equity partners.
- Track and help drive completion of key deliverables and follow up on outstanding items.
- Answer general inquiry emails/calls, Direct calls/inquiries to the appropriate team members for response or action.
- Manage the schedule for shared resources, conference rooms, etc.
- Assist with travel, lodging, and dining arrangements for visitors to corporate office.
- Sort mail and direct to appropriate staff, departments.
- Ensure necessary supplies are always available.
- Assist with shipping equipment and supplies to staff throughout the country, as needed.
- Alert management of potential issues or concerns
- Document writing, editing, and readiness.
Required Skills
- Self-motivated, highly organized, and detail-oriented
- Strong verbal and written communication skills as well as interpersonal skills
- Basic math and accounting skills
- Proficient in MS Suite of software including Teams.
- Demonstrated ability to improve processes.
- High levels of integrity and discretion
- Impeccable attention to detail
- Highly motivated, organized individual who can work effectively with minimal supervision, coordinating with staff across multiple locations and time zones.
- Ability to prioritize and handle multiple assignments at any given time.
- Experience with Event Planning (not required but an added benefit)
Job Type: Full-time
Pay: $60,000.00 - $70,000.00 per year

Schedule:
