The Executive Assistant (EA) is a key liaison and direct support to the CIO, Beauty Tech and HQ Beauty Tech leaders and their teams operating within LVMH Beauty Tech, Americas. The EA will be responsible for the day-to-day scheduling, calendar management, event management and travel and expenses. The EA will assist the team with various special projects as needed.

Work location: based in East Brunswick, NJ. Some travel to NYC office required from time to time.
Work schedule: hybrid = remote + in-office at East Brunswick. Minimum is 4 days per week – Monday, Tuesday, Wednesday, Thursday following onboarding period. During onboarding period – in office 5 days per week.

Executive Assistant, Human Resources, Americas
Reports to: CIO, Beauty Tech, Americas
Scope: Beauty Tech Team who support the following brands - Parfum Christian Dior, Guerlain, Fresh, Benefit, Kendo, LFB =Givenchy/Kenzo, Aqua di Parma, Maison Francis Kurkdjian, Stella McCartney
Communications & Scheduling (55%)
- Key liaison for senior executives, brand Presidents and internal teams across Beauty Tech and multiple beauty brands, including HQ teams based in Europe
- Manage and maintain daily and long-term calendar; anticipate key monthly/annual events, cross check for double-booking, ensure rooms/Teams are booked and agendas are prepared/shared as needed, keep executives on time and on-schedule
- Schedule internal/external meetings, off-sites, trainings, and interviews
- Draft internal communications, proposals, and presentations
- Arrange domestic and international travel, including flights, hotels, and transport
- Welcome guests and clients by greeting them, in person or on the telephone; answering or directing inquiries.
- Evaluate and screen incoming calls for priority, resolution, routing, or response
- Prioritize and handle internal and external correspondence. As needed, draft proposed replies and/or route to appropriate recipient
- Operate discreetly, maintain confidence and confidentiality in all relevant matters
Team Support and Administration (25%)
- Ensure all aspects of New Hire Onboarding is executed for all newly hired Senior Executives across NY/NJ offices
- Liaise with and assist Workplace Services as needed
- Data entry, electronic filing, reporting, collecting collating information/data
- Email Distribution list maintenance
- Special projects as assigned
Events (10%)
- Coordinate senior Executive meetings and events in accordance with LVMH and brand standards; remain apprised of event spaces, caterers etc. to support luxury experiences
- Execute key annual events; summer party, holiday party and support brand-led events (i.e., annual team meetings). Includes set-up, breakdown, transit of supplies, etc.
- Partner with Executive to review and approve the expenses of direct reports
Expense/Invoice Management (10%)
- Manage all T & E expenses accurately and in a timely manner
- Partner with Executives to review and approve the expenses of direct reports
- Manage expenses vs budgets as needed
- Process all invoice coding and purchase order requests
Supervision Received:
As per CIO, Americas
- Minimum five (5) years of experience in supporting senior executives
- Detail oriented, organized; able to manage multiple priorities with a sense of urgency
- Effective communication skills, verbal and written
- Able to act with discretion and poise while managing high-profile projects and interactions
- General awareness of the NY metro area offerings related to event spaces, restaurants, luxury experiences
- Able to embody LVMH values; Creativity and Innovation, Entrepreneurial Spirit, Commitment to Excellence and making a Positive Impact
- Proficiency in Microsoft Office, with advanced PowerPoint and Excel Skills
Additional Information
Salary Range: $75,000 - $105,000
LVMH Inc. uses the published salary range as a guideline to provide our employees with market competitive pay, while allowing for flexibility to recognize and reward various levels of expertise, performance and tenure.
While the published salary range is a good faith reflection of the targeted salary level for the position, LVMH Inc. reserves the right to pay outside of the published salary range.
