Position Summary:
The Community Operations Manager is responsible for the oversight of day-to-day operations of the community, achieving and maintaining maximum occupancy of the community and capacity, achieving high resident satisfaction a quality resident care/services, ensuring compliance with applicable state and federal requirements, generating respect in the community for the community, ensuring smooth operation of the community, and generating the projected profits for the company.
Duties and Responsibilities:
1. Oversight of the community in a manner, which will ensure company profitability by meeting all community budget and census guidelines set by the corporation. Follow and adhere to the budget in all situations. Monitor staffing hours and overtime daily to detect problems early. Avoid utilizing temporary staffing without approval of supervisor in advance. Use company budget forms to monitor expenses.
2. Ensure the delivery of quality care and services and ensure positive resident relations responding promptly and appropriately to resident needs, request, concerns, etc. Promote a culture where each resident is of the greatest importance.
3. Monitor marketing activities including public relations efforts, prospective resident generation, prospective resident follow-up, direct sales, and sales monitoring to ensure the complete fill up of the community. Strive to achieve a 100% occupied community.
4. Oversight of community relations function for the community with particular attention to clergy, medical, legal, financial and business communities who would have influence with other senior market. Oversee the development of referral sources for prospective residents.
5. Propose for approval contracted services, including the beauty shop, therapy services and other ancillary services as may be required and to direct and evaluate the performance of all service contractors in providing needed services.
6. Promote and maintain positive relations with residents and their families, providing the necessary Operations Manager/resident contact, including but not limited to, service plans and dining room interaction while addressing resident concerns appropriately. Encourage resident interaction.
7. Provide resident programs designed to achieve resident satisfaction by providing enrichment in the area of social interaction, entertainment, arts and crafts, physical exercise, education, religious services, and community involvement.
8. Comply with all state and federal laws and regulations and all company riles and regulations regardless the care of the residents and operation of the community. Develop a positive rapport with all state regulatory representatives.
9. Develop and maintain systems that will effectively monitor the operation of the community, including, but not limited to occupancy rate, income and expense, supply/capital asset inventories, and resident and staff satisfaction.
10. Oversee the maintenance of accurate and appropriate records for each resident and prospective resident of the community, for each employee and other administrative activities, and maintain confidentiality of said files at all times.
11. Oversee the healthcare related programs and services (i.e. medications, bathing, staff development, charting) and ensure that all applicable state mandated rules and regulations are carefully adhered to.
12. Ensure that the community participates in quarterly care conferences to be informed and demonstrate commitment.
13. Conduct department leader meeting to focus on resident condition, admissions, discharges, resident/family concerns, like safety issues, employee injuries, and resident accident/incidents.
14. Conduct weekly marketing meetings to focus on move-ins and move-outs, community events, and marketing events.
15. Direct and monitor timely and accurate completion of all daily/weekly/monthly billings, accounting and bookkeeping requirements (i.e. residents, A/R, A/P, payroll, collections, etc.)
16. Assist as needed in the coordination of move-in with respective residents. Periodically review each resident’s status and ability to perform under the terms and conditions of
the Residency Agreement. Oversee the process of determining each resident’s suitability and placement for transfer to an environment appropriate for their mental and physical condition. Direct and advise as needed the process for notifying staff of new resident’s needs and ensuring the apartment is move-in ready.
17. Recruit, hire, provide orientation, supervise, train, discipline and terminate the department leaders of the community and be responsible for ensuring department leaders comply with the policies and procedures. Review respective job description, quality, performance, and production standards of department leaders as set by management of community and the company.
18. Periodically and routinely review (90-day and annually) and evaluate department leader performance, schedule training and make adjustments as necessary.
19. Cooperate and effectively interact with the Resident Council.
20. Exercise professional judgement and carefully adhere to all written standards, personnel administration policies and procedures. Direct and monitor the documentation of all matters related to personnel administration for every employee of the property. Ensure that in-service calendars are developed and adhered to.
21. Routinely monitor the sanitation of the kitchen, quality of meals, quantity and appearance of services and entire staff, cleanliness of resident’s apartment and satisfaction of residents.
22. Access retrieve and review messages on a daily basis (twice daily minimum).
23. Implement a quality assurance program that evaluates each department’s performance at least quarterly with appropriate follow-up to maintain compliance with company policies and procedures as well as local, state, and federal regulations.
24. The Operation Manager will be responsible for identifying, making recommendations and following through with approved purchases that will protect and physical asset of the property.
25. They are responsible for implementation and follow through of recommendations of the safety committee to provide safe environment for the residents, staff, and visitors.
26. Perform any additional job duties set by corporation while completing all assigned duties which may change from time to time according to residents needs, staffing levels, working circumstances, and corporate directives.
Job Qualifications:
1. Must have appropriate professional license and license must be in good standing (i.e. Skilled Care, RCF, ALF, BH).
2. Must be able to relate to the elderly in a positive manner.
3. Must possess good marketing and public relation skills.
4. Must have an understanding of budgeting, financial record keeping and reporting, appropriate State and Federal regulations, operational systems and procedures and must be able that understanding to ensure the smooth operation of the community.
5. A minimum of three (3) years prior experience in a management position operating retirement, assisted living or skilled nursing community, or related business.
6. High School diploma, higher education, and accompanied by specific training and/or certification in management activities.
7. Must possess a current specific driver’s license and appropriate driving record.
8. Must be fidelity bondable.
Other Requirements:
- Good communication skills, verbal and written, English language skills adequate to allow communication with residents and staff, and to understand written and verbal instructions. Compassion for the elderly and sick. Self-motivation.
Universal Precautions:
- Exposure to blood/body fluid not likely.
Physical Requirements:
- Push, pull, and lift at least 30 pounds. Frequent transporting of residents in wheelchair.
