I) Job Purpose

This is a SUBSTITUTE POSITION WITH A VARIED SCHEDULE AND HOURS AVERAGING FROM 20 TO 32 WEEKLY.
This position is responsible for providing administrative support for the HR Department. Support includes; data entry, receptionist to HR front desk, bookkeeping, accurate recordkeeping, maintaining file documentation, and accurately managing multiple tasks. Excellent customer service is required through the flow of information via in person, telephone, fax, email, memos, letters, etc. Perform a wide range of administrative and office support activities for the department to facilitate the efficient operation of the department.

II) Essential Functions
A. Administrative
Performance Requirement(s):

Pre-screen applicants
Face to face onboarding prior to hire with perspective employees
Processes all request for employee ID badges
Assist with department projects as needed
Answer, screen and transfer inbound phone calls
Receive and direct visitors and staff
General clerical duties including photocopying, fax and mailing
Handle requests for information and data
Resolve administrative problems and inquiries
Prepare written responses to routine inquiries
Prepare and modify documents including correspondence, reports, drafts, memos and emails
Work with HR admin to schedule and coordinate meetings, appointments and travel arrangements for management team as needed.
Record, compile, transcribe and distribute minutes of meetings
Open, sort and distribute incoming correspondence
Coordinate maintenance of office equipment
B. Operate multiple database system for HR department
Performance Requirement(s):

Maintain electronic and hard copy filing system
Retrieve documents from filing system
Maintain all personnel file documentation in the computer and in the required paper files
Enters data and generates reports, participates in database research.
Updates agency intranet on HR related items
C. Recordkeeping
Performance Requirement(s):

Coordinate and maintain records for staff on pending documentation
Manages surveys of terminated employee files
Assist with internal/external audit requests.
Coordinates the monthly reporting Metrix for department

Knowledge of letter formats, computer usage, office equipment

Knowledge of Word Processing

Ability to establish and maintain effective working relations with supervisor, co-workers, other MHMRTC employees and staff working for outside agencies
Ability to understand and carry out oral and written instructions

Working knowledge of office practices, business English, spelling, punctuation, and math computations
Typing speed of 40 wpm

IV) Internal & External Customer Service

This position has extensive internal and external contact.
This position will have above average verbal and written skills

V) Travel

Driving for work is not required in this position. Work related training maybe at varied locations and employee is responsible for getting to and from the training location.

Minimum Requirements:

Two and a half (2.5) years

Clerical, administrative, or human resources

Must provide license (if applicable) and official documentation of all educational attainment i.e. Transcript/Degree/Certificate

Testing Requirements
Pre-employment tests including drug and TB Screening, Physical Exam including balance and lift test.

All staff are required to participate in agency Emergency Preparedness and Environmental Safety programs and may be assigned by their departments as a key/essential staff level function during critical events or for the purpose of sustaining business continuity.

This position may require temporary or permanent re-assignment to any MHMR Tarrant facility as determined by program needs and /or the Division/Director.

Assigned work hours may change as the needs of the agency change.

The functional Title of this position may change as the needs of the agency change.

All work will be complete within the scheduled work hours. All non-exempt (hourly) employee are expected to clock In and out for each work shift, no work done should be done off the clock.

Prior approval from supervisor is required for all Paid Time Off (PTO) and Overtime.

MHMR reserves the tight to change, and to or eliminate a position as it deems appropriate.

Employment is at will, as well as agency needs may change.

Agency dress code is to be followed at all times.

Physical on-site presence, including regular attendance and punctuality is an essential function of this position. Any change or adjustments to your assigned work schedule or shift hours must be approved by your supervisor in advance.

Insurance eligibility:

  • Full time employees begin 1st of the month following hire date
  • Market driven positions (full time or part time) begin immediately after hire date
