Medical Records Job at Clinica Family Health
This job exists to: Support patient care by ensuring confidentiality, accuracy, and completeness of patient records, including the oversight of health record disclosures and the management of incoming health information.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Completes scanning and data entry of medical information.
- Prepares and sends medical records as requested.
- Is proficient in pulling medical record data from outside organizational portals .
- Manages and distributes faxes and other incoming health information.
- Follows confidentiality procedures.
- Assists clinical team with obtaining medical records.
- Provide excellent customer service, cultural sensitivity, and confidentiality.
- Follows appropriate telephone protocol for patients and employees.
- Initiates, update and maintain electronic medical record.
- Serves as HIPAA Subject Matter Expert (SME).
- Maintains My Clinica Connection knowledge and demonstrates the ability to respond timely and appropriately.
- Is knowledgeable of sending charts to and requesting charts from the medical records storage company.
- Works Electronic Medical Record (EMR) tasks on a daily basis.
- Responsible for entering pregnancy delivery information.
OTHER DUTIES AND RESPONSIBILITIES:
- Maintain a safe work environment by remaining informed of and compliant with the clinic’s safety policies, and in particular by application of safe practices in area of own responsibility.
- Compliance:
- Knowledgeable of and compliant with laws and regulations governing area of responsibility.
- Responsible for reporting any potentially non-compliant conduct.
- Cooperate fully with our Compliance Officer in upholding our Compliance Plan
- Performs other duties and responsibilities as required.
SUPERVISION: No
SCOPE OF AUTHORITY:
- This position is expected to perform responsibilities with general managerial direction.
- For immediate problems, the position is responsible for independent problem solving.
Progress is reviewed quarterly and results are measured and formally evaluated annually. Completes and passes an annual competency assessment.
POSITION QUALIFICATIONS:
Education and Experience:
- High School diploma or GED preferred.
- One year in a medical facility preferred.
Knowledge, Skills and Abilities:
- Must be proficient in written English.
- Basic computer, math and phone skills.
- Ability to work under pressure and handle multiple tasks at one time.
- Excellent customer service and organizational skills.
- Sensitivity to low income, ethnic minority community is required.
- Able to flourish in a team management system.
- Reports to work on time and on a regular basis.

- All Clinica Family Health clinic employees and patients
- Medical records/RCM supervisor, Clinic Operations Manager, Clinic Operations Director
MATERIALS AND EQUIPMENT DIRECTLY USED:
- Computer and office equipment
- EHR and medical records portals
WORKING ENVIRONMENT AND PHYSICAL ACTIVITIES:
- No risk of exposure to blood borne pathogens
- Usual office environment
- Ability to travel from clinic to clinic as required
- Working outside of normal business hours might be required from time to time

Compensation: Approximately $15.22 - $17.65 per hour. All individual pay rates are calculated based on the candidate's experience and internal equity.
