This role is responsible for providing administrative support to the Director, Faculty, Residents, and Staff in the Graduate Orthodontic Program, including frequent front desk support of clinic as needed.
Duties and Responsibilities
1.Act as the administrative point of contact for the Orthodontic Program.
2. Provide overall administrative professional support for the Program.
3. Coordinate day-to-day operations of the Program to ensure quality service is provided to students, faculty, staff, administrators, and patients.
4. Manage, update, and distribute faculty and resident schedules.
5. Approve timesheets and time-off requests for non-exempt staff.
6. Support front desk service to patients, both in-person and on the telephone.
7. Establish and communicate treatment payment plans. Execute patient contracts.
8. Coordinate and schedule all Program activities, including lectures, in-service programs, etc.
9. Provide support for all alumni association activities (correspondence, membership management, dues collection).
10. Arrange and coordinate annual interview process for prospective residents. Oversee orientation and onboarding of new residents.
11. Make all arrangements for resident graduation event and program.
12. Engage technical support from Dental Informatics as needed.
13. Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills and Abilities
  • High School education.
  • Two years proven experience as an executive administrative assistant, senior executive assistance or in another office administrative role
  • Good organizational and customer service skills.
  • Excellent written and verbal communication skills.
  • Discretion, flexibility, and courteous demeanor
  • Ability to maintain confidentiality.
  • Ability to work and communicate with people from a diverse population.
  • Ability to work independently with little supervision and constant interruptions in an environment that can be stressful at times.
  • Ability to multitask and prioritize daily workload.
  • Computer competency with word processing and spreadsheet applications required.
Preferred Knowledge, Skills and Abilities
Familiar with dental/orthodontic management system, e.g., axiUm, and dental insurance information. Knowledge and experience in a health care/dental office setting.
