Schedule: 30 Hours A Week - Monday Through Friday 8:30 am - 3:00 pm

Position Summary
The Office Coordinator is the face of Mad Engine Global, the first direct contact of the company with the community. The Office Coordinator oversees the front reception area and adeptly handles the flow of incoming calls/inquires/guests directing each to the proper department. This position reports to Human Resources/Facilities and handles a multitude of varying assignments from that office.
Essential Duties and responsibilities
Oversee the front reception area.- Professional and courteous representation of Mad Engine as initial contact with visitors and/or guests.
- Lead on phones.
- Greets guests and connecting them with the appropriate department in a timely manner.
- Managing all in-house meeting space calendars to ensure smooth meeting transitions and reassigning locations as needed.
- Researches and summarizes data as requested; presenting findings into an easily understandable format.
- Assists in organizing and coordinating accommodations for on and off-site meetings.
- Assists with coordination of company events (Employee Recognition, Company Picnic, Holiday Party, etc), as directed by HR and Executive Assistant.
- Assisting with organizing and shipping of Holiday gifts for vendors, licensors, sales teams and suppliers.
- Assists with travel accommodations and bookings for Mad Engine travelers, as directed by HR.
- Assist with orders of general office supplies to include but not limited to; ink cartridges, printer paper, janitorial supplies, art supplies, special requests items.
- Manages Mail (postage and take out).
- Managing of office wide coffee program and reporting on usage
- Special request projects as directed by Facilities Manager and HR
Working conditions
- Must be able to work in a fast-paced environment
- Office with open floor plan
- Business casual office attire
- Work is performed inside a temperature-controlled office building
Physical requirements
- Sit, stand, bend, lift occasionally lifting
- Ability to listen and speak with employees and vendors
- Occasionally lift up to 25 pounds
- View and type on computer screens for long periods of time
Qualifications
- Familiar with MS Office Suite and Excel.
- Ability to access information from the internet
- Must possess the ability to communicate effectively with internal and external contacts and maintain confidentiality
- Strong verbal and written communication skills
- High level of attention to detail
- Ability to implement projects in an effective and timely manner.
- Ability to maintain a high level of confidentiality regarding sensitive situations.
- Bilingual in English/Spanish is a plus!
