YR Media is launching its Midwest Hub (Chicago) and is seeking a part-time Administrative and Outreach Specialist to work in our Media Education and Employment department. They will work with a diverse media education team to ensure the positive well being and development of all youth participants.
This position holds principal oversight of managing and coordinating YR Media’s Media Education and Employment activities within and outside of the organization, answering inquiries by email, phone or Slack and maintaining files. Additionally, the Administrative and Outreach Specialist is responsible for maintaining the program calendar, coordinating and facilitating outreach and recruitment presentations and running occasional workshops and training for youth employees. The ideal candidate will have a love of working with young people, be familiar with Chicago schools and local Chicago youth organizations, be comfortable presenting and co-facilitating interactive workshops for youth and adults, and thrive in a team environment
Requirements:Responsibilities:
- Manage and organize Media Education and Employment program calendar, in collaboration with Oakland HQ, including setting schedule for inter-session tasks and meetings;
- Work closely with YR Media’s Human Resources department to maintain records including work permits, parent forms, equipment inventory, Media Ed stipend tracking, etc.;
- Utilize Apricot database system to track youth participation (from application through program exit) in YR Media programs;
- Collaborate with instructors for materials and order supplies for classes and with tech team to provide classroom equipment, tools and software;
- Coordinate and conduct school and community presentations for outreach and recruitment;
- Reach out to local partners and schools to help grow partnerships;
- Send correspondence to staff and partners about showcases, radio shows, share outs, etc.;
- Coordinate logistics and co-facilitate YR Media job fairs, youth program orientations, graduations or other events at YR;
- On-boarding Media Education and Employment youth program participants;
- Contact all youth participants regarding session dates, applications and classes;
- Any other duties as assigned by your supervisor.
Required Qualifications, Knowledge & Skills:
- Associate degree or equivalent experience in a related field
- Minimum of 2 years experience as an administrative assistant or office admin assistant
- High attention to detail and proactive problem-solving skills
- Working knowledge of office equipment, such as printers and video teleconference systems
- Proficiency in Google Suite (Gmail, Google Calendar, Google Sheets, etc.) and Zoom Software
- Familiarity with Slack and Asana platforms; willingness to quickly learn different platforms and emerging technologies a plus
- Excellent time management skills and the ability to prioritize work
- Excellent written and verbal communication.
- Ability to work independently
- Ability to establish effective working relationships with directors, managers, and co-workers
- Excellent organizational skills and attention to details a must
- Personable, professional, patient demeanor to interface with staff and youth of diverse backgrounds

Compensation: This is a part-time, non-exempt position working 25 hrs/week. There may be opportunities to work more hours plus expand the role to a full time position in the future. The hourly wage rate will be commensurate with experience. The hourly pay range for this position is $28 - $32.

This position reports to the Director of Media Education & Employment.
Location & Physical Requirements
Employee’s principal place of work is Chicago, IL. As we launch our Midwest Hub, this position is currently a hybrid role and will transition to regular on-site presence at the Chicago office. Approximately 90% of the time spent on the job involves use of a monitor; therefore, employee must be able to sit for extended periods and to utilize standard ergonomics practices. Unless otherwise traveling, employee will primarily work in an office environment, requiring the following activity: lifting and carrying materials weighing up to 25 pounds, kneeling, bending. Must be able to use standard office equipment.
