Responsibilities:

• Primary phone receptionists for answering inbound calls to CIS main number in a polite and professional manner.
• Routing inbound calls promptly to the appropriate individual or group extension within the organization, based upon the caller's request.
• Greet and welcome all individuals warmly, politely and professionally.
• Help coordinate and direct individuals to the appropriate area or person in the company.
• Be able to answer basic questions from calls so as not just to route calls to other extensions, such as directions to facilities.
• Assist Marketing and Administration with data entry and special projects: such as tracking inbound patient comments into the DIS patient satisfaction database.

General Working Hours & Supervision:

• Monday - Friday 8:00 am to 5:00 pm - No weekends or Holidays
• PBX Operator reports to Director of the clinic.

Qualifications:

• Possess excellent written, verbal and phone communication skills.
• Experience working with multi-line phone systems,
• Strong interpersonal skills with both internal and external customers.
• Possess excellent organizational and problem solving skills.
• Be able to multi-task while working the PBX and handle high volume of calls.
• Be able to retain basic organization and medical information and communicate that information clearly.
• Strong knowledge and experience with Microsoft Office and ability to learn and utilize other software products the company utilizes to run its business.
• Ability to listen to customers of all types to proficiently and effectively understand and respond appropriately in a positive manner to callers requests.
• Ability to work without close supervision.
• Ability to be on time.
• Ability to conduct business with the attention to confidential and ethical considerstions such as regulated by HIPPA.
• Bi-lingual preferred but not necessary.

Education:

• High school or equivalent.

The ideal candidate will have a disciplined approach to customer service and time management. In addition, the ideal candidate will be willing to support other department during downtime.
