About The Role:

We are looking for a highly organized Guest Scheduling Assistant to aid in creating and coordinating guests’ schedules and complete data entries for their stay. In this role, you will assist in designing the ideal itinerary based on the requests of our guests, this will include booking all the spa, fitness training, and activities during their stay.

To ensure success, the guest scheduling assistant should possess a knowledge of organizing practices and have a background in working on computers. The Guest Scheduling Assistant is someone who has great attention to detail and takes proactive steps to initiate a seamless scheduling process in an effective and efficient manner.

Responsibilities

  • Maintains and improves schedules as updates occur.
  • Answer all phone calls promptly and handle all inquiries in a courteous and professional manner.
  • Knowledge of data entry into scheduling network.
  • Answer scheduling questions via email and/or phone.
  • Perform other administrative tasks as required.
  • Confirm booked appointments for all arriving guests.
  • Checking each arrival and departure daily, and follow up with any special request, special occasion, dietary needs and packages to create the ultimate experience.
  • Work closely with the guest service team to achieve flawless guest experience.
  • Provide accurate, consistent guest information.
  • Maintain lists and schedules to ensure details are not overlooked.
  • Manage tasks in compliance with company policies and operating procedures.
  • Put in writing key information so the details are not lost or forgotten.
  • Share recommendations to eliminate guest inadequacy and service issues.
  • Demonstrate strong organization and problem-solving skills.
  • Use strong communication skills (verbal, listening, writing); utilize confident telephone skills and etiquette.
  • Maintain a broad understanding of the property and Golden Door program.
  • Work cohesively with other departments and co-workers as part of a integrated team.
  • Adhere to all standards, policies, and procedures.
  • Perform other duties as assigned to meet business needs as assigned.

Requirements

  • Strong customer service experience preferably in an upscale resort environment.
  • Computer literate, knowledge of Word and Excel
  • Ability to clearly and pleasantly communicate both written and verbally.
  • Ability to communicate with vendors, guests and staff, to their understanding.
  • Experience with office software, including word, Excel, and outlook.
  • Excellent organizational, interpersonal, and communication skills.
  • Ability to provide clear and pleasant telephone communication to all callers.
  • Ability to focus on guests needs, remaining calm and courteous.
  • Ability to resolve problems using good judgment.
  • Ability to prioritize and organize work assignments and follow up.
  • Ability to focus attention on details.
  • Ability to maintain discretion and confidentiality of all guests and pertinent resort information.
  • Ability to work without direct supervision.
  • Must be able to handle many tasks at the same time and exhibit initiative to see project through completely.

Physical Demands:

  • Frequent or occasional need to perform the following physical activities: reaching, bending, pushing, pulling, twisting, lifting, and climbing. Have frequent need to perform standing and walking activities related to inspecting property.
  • Constant need to perform the following physical activities: grasping, turning, finger dexterity.
  • Frequently needs to stand for long periods of time.
  • Lifting/carrying up to 10 lbs. frequently and 25 lbs. occasionally.
  • Vision requirements: constant need to view small print. Frequent need to see small details and things clearly beyond arms’ reach.
  • Hearing requirements: constant need to speak on telephone and/or two-way radio, respond to public, and converse with staff. Ability to hear fire alarms and emergency equipment.
