Your Specific Responsibilities:

This is a challenging clerical position working for Florida Department of Health – Sarasota County, in the Immunizations Clinic, stationed primarily at the Ringling site but at times working at the North Port site if requested to do so. (County car provided, or travel expenses compensated if no car available). The incumbent reports to the Medical Unit Supervisor, with direct oversight of the team lead on site.


Duties include but are not limed to the following:

  • Acts as check-in clerk & check-out clerk/cashier for the Adult, Children’s and Travelers’ Immunizations clinic to which (s)he is assigned, according to FDOH Guidebook and DOH – Sarasota Immunizations Manual.
    • Assists with answering phones, scheduling appointments, and returning messages
    • Checks Change Healthcare, FLMMIS, Availity and/or other sources; updates insurance information and demographics status reason in HMS for every client at every check-in.
    • Collects payment for co-pays, deductibles and non-insurance covered immunization services, including vaccines, Tuberculosis tests and laboratory tests .
    • Accurately utilizes the credit card machine and handles checks and cash transactions efficiently and without error, assessing correct charges, providing clients with appropriate change and correct receipt.
    • Cashes out at the end of each day, reconciling receipts against monies collected.
    • Prepares the daily deposit accurately, following each step of the procedure as outlined by Fiscal
    • Follows internal cash handling processes and those outlined in the DOH Policy DOHP 57-07-10.
    • Prepares and submits billing information daily to the Billing Clerk for any clients receiving services.
  • Performs support duties for both regularly scheduled and outreach Immunizations Clinics according to the CHD Guidebook and the FDOH-Sarasota Immunizations Manual.
    • Searches electronic files, examines client records, and contacts other health care providers if necessary to determine immunization status; enters immunization data into FL SHOTS vaccine registry and completes with precision all immunization documentation.
    • Accesses school board on-line records system as needed to help complete immunization records with missing data, if indicated.
    • Accurately registers clients in FL SHOTS and HMS and activates the client records. Updates demographics and verifies insurance coverage at each visit.
    • Screens each pediatric client upon intake to determine eligibility for VFC Program; prominently denotes correct program eligibility on screening form before giving it to nursing staff.
    • Provides parent/child with copy of immunization record and /or Immunization Certificate for daycare or school entry as needed.
    • Assists in the education of clients and family members about the importance of immunizations and adhering to CDC schedules.
    • Provides outstanding customer service, going beyond what is required, with all clients, teammates and other co-workers, vendors, interagency contacts, and the public at large.
  • Performs a variety of data entry and clerical duties according to DOH policies and directives.
    • Receives and screens phone calls, answering before the call goes to voicemail if possible. Provides callers with general information on immunizations, clinic schedules and services. Refers callers to other resources, including to nurses when appropriate.
    • Makes initial and return appointments for adults, travelers, and children, in person and on the phone.
    • Takes complete and accurate information from callers to facilitate nursing assessment of vaccine needs and to obtain insurance authorization if applicable.
    • Operates and utilizes with accuracy a variety of standard business and office equipment including PC, copier, scanner and related equipment.
    • Accesses e-mail at least 2-3 times daily and is responsible for acting in accordance with information contained therein, particularly those e-mails from the agency administrator, division director, supervisor and/or DOH.
  • Miscellaneous Activities
    • Attends team meetings, ECDC staff meetings, DOH-Sarasota General Staff meetings and participates in staff development activities when appropriate.
    • Participates in team QI projects.
    • Maintains client confidentiality in a manner consistent with chapter 384.29, F.S. and DOH policy.
    • Performs other duties as assigned, adjusting schedule if required.
    • Completes a minimum of 20 hrs. of education, consistent with agency requirements, including all annual updates and other trainings as requested by supervisor. Completes trainings within 2 weeks of assignment, unless extension granted in advance by supervisor.

Qualifications:

Minimum –

  • Valid Florida Driver’s License and/or access to reliable transportation
  • High School diploma or GED
  • One to three years of clerical work experience (college education of 30 semester hours and/or vocational training of 720 classroom hours can be substituted for each year of desired work experience
  • English/Spanish bilingual
