The Cardiac Rhythm Management (CRM) Operating Unit is an exciting place to be, with expectations of delivering market -leading growth through world-class innovation and global collaboration. As an important member of the CRM OU Operations and Finance teams, you will help deliver on our growth and service strategy. In this exciting role as an Executive Administrative Assistant, you will have responsibility for the day-to-day administrative support of Vice President of CRM Operations and the Vice President of CRM Finance. This role reports to the VP of CRM Operations.

This position is in Mounds View, MN.

A Day in the Life

In general, the following responsibilities apply for the Project Coordinator IV role. This includes, but is not limited to the following:

· Provides general administrative support including preparing communications and maintaining schedules.

· Performs normal office functions such as setting up and maintaining files, team sites, distribution lists.

· Monitors, gathers, and compiles reports such as Invoice, Budget, Accrual, Cost Center, and Cornerstone Training Reports.

· Prepares reports, presentations, communications for team such as periodic updates for global partners.

· Manages POs and Contracts for teams.

· Assists with guiding forms throughout processes to get approvals and signatures.

· Schedules New-Hire Interviews, coordinates with talent acquisition and assists in on-boarding new hires.

· Schedule and manages agenda for weekly staff and QBR meetings.

· Coordinate meetings.

· Manage approval of expense reports and Workday items.

· Run regular reports and sends correspondence to needed stakeholders.

· Monitors and manages general office, supply, equipment, and office space management for the team.

· Coordinates and manages all periodic meeting logistics, and team building activities.

· Updates and oversees distribution lists

· Responsible for coordinating travel and submitting expenses and registering for conferences

· Maintains and updates organization charts

· Has high degree of initiative; Adjusts or recommends enhancements in systems and processes to solve problems or improve effectiveness of job area.

· Communicates with internal and external contacts. Interact/relationship building across CRM organization and Medtronic

· Provides project or program support to a functional group or business process.

· Applies knowledge of and experience in company operations to assist in the development, implementation and administration of program/system guidelines and procedures.

· Gathers and compiles information for reports.

· Provides technical support, which may include program/system training, program/system documentation, data extraction, data review, tracking, coding, and Zoom calls.

Qualifications –

MUST HAVE - MINIMUM REQUIREMENTS:

· High School Diploma or GED with 6+ years of administrative support experience

Nice to Have

· Ability to partner & collaborate across various teams and build relationships

· Strong project management and meeting coordination skills

· Excellent verbal and written communications & presentation skills

· Skilled user of Microsoft office programs – Outlook, Word, Excel, Power Point, Microsoft Teams

· Advanced user of Zoom

The provided base salary range is used nationally (except in certain CA locations). The rate offered is compliant with federal/local regulations and may vary by experience, certification/education, market conditions, location, etc.

Base pay is based on numerous factors and may vary depending on job-related knowledge, skills, and experience .
