Administrative Specialists!

The County Clerk's office seeks a full time Administrative Specialist to work in their office. In this role, the ideal candidate will process transactions for the department and maintain files of the County Clerk which includes election data, birth certificates, death certificates, marriage certificates, assume name business registration, Statement of Economic Interest filings, Notary Public registrations, voter registrations, tax redemption, County Board files, County contracts, maps and tax extension. This is a union position under AFSCME.

Rate of pay: $15.90/hr. per union contract- the pay is not negotiable
Work week: 37.50

Job Functions:

  • Set up and maintain paper and electronic filing systems for records, correspondence and other material.
  • Complete forms in accordance with County Clerk procedures.
  • Operate office equipment such as fax machines, copiers, phone systems, and use computers for spreadsheet, word processing, database management and other applications.
  • Interact with staff, elected officials and the general public in person or by telephone in order to respond to inquiries, receive complaints and resolve problems.
  • Provides a variety of clerical and administrative support functions for the department.
  • Compose, type and distribute meeting notes, routine correspondence and reports.
  • Type’s letters, memos, charts, labels, reports or other correspondence.
  • Performs data entry using word processing, spreadsheet or database commands and formats material as required.
  • Performs other related duties as assigned.

Minimum Qualifications Required:
Education and Experience:

  • High school diploma or GED; and,
  • Six months or more clerical experience in an office environment.
  • Computer applications related to the work.

Other Qualifications:

  • 24WPM typing/data entry

Typing test is required for this position.

Licenses and Certifications:

  • Valid Driver’s License.

Knowledge in:

The ideal candidate in this position will have knowledge of principles and practices of governmental accounting. Applicable state, federal and local laws, rules and regulations.
Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
