GENERAL STATEMENT OF RESPONSIBILITIES*:
Our Special Diabetes Program for Indians (SDPI) relies heavily on patient support through patient participation. The program is designed to reduce the risk of Diabetes amongst our community. The assistant is responsible for assisting in the daily operation of activities and supporting staff with patient needs. The program assistant will support the Special Diabetes Program for Indians (SDPI) to be a successful and continued program for years to come.

SPECIFIC DUTIES AND RESPONSIBILITIES*:

  • scheduling eye exams and diabetes visits.
  • monthly food pick up and drop offs.
  • cooking and exercising classes.
  • Maintain confidentiality and adhear to all laws governing communication and files protected by HIPAA legislation (45 CFR, Parts 160 & 164).
  • Understands duties and responsibilities, has necessary job knowledge, has necessary technical skills, understands company mission/values, keeps job knowledge current, is in command of critical issues.
  • Demonstrates concern for meeting internal and external customers' needs in a manner that provides satisfaction for the customer within the resources that can be made available.
  • Communicate information to individuals or groups; clearly and concisely convey information orally or in writing to individuals or groups to ensure that they understand the information and the message. Listen and respond appropriately to others. Ability to establish effective working relationships that foster organizational success.
  • Manage and record purchase orders, requests, and transactions.
  • May assist staff with schedules to support patient needs.
  • Answering and directing telephone calls as appropriate. Strong communication and negotiation skills.
  • Greets all visitors and clients with dignity and respect. Promoting a welcoming environment.
  • Coordinates the staffing schedules, and monthly calendars for the Nutritionist.
  • Participate and provide assistance with Outreach, Healthy Families, SIHC events, and community gatherings.
  • Provides administrative assistance with clerical equipment and functions such as computer data management or word processing, copying, filing, and organizing.
  • Maintains inventory and ensures office organization. Orders office supplies as needed.
  • Provides onsite assistance for activities, meetings, and events, including but not limited to: ordering food, reserving and arranging meeting/event location, participating in event activities as assigned, copying handouts and information, etc.
  • Follow Medical policies and procedures which will include transportation and eligibility requirements for program success.
  • May be requested to prepare meeting minutes as assigned. Provides sign in sheets for groups and meetings.
  • Professionally and respectfully represent SIHC and Medical in the community.
  • Ability to work a flexible schedule may be required based on need.
  • Other duties as assigned.

QUALIFICATIONS:
Education/Experience: Bachelor’s Degree in Healthcare Administration, or comparable field preferred. A minimum of one-year direct service experience in in a professional office setting providing a supportive role with confidential public contact. Intermediate computer skills and proficient in Microsoft Office. Must type at least 30 words per minute. Must be able to proofread own work and other correspondence. Must be able to deliver clear and concise verbal communication and interact graciously and professionally with clients. Knowledge of HIPAA policies and procedures and be able to maintain absolute confidentiality. Must be able to take accurate telephone messages. Must be organized and make productive use of time.
Must be 18 years of age or older.
Licenses/Certifications: A valid California driver’s license is required at the time of appointment and must be maintained throughout employment.
Applicant must be insurable under SIHC vehicle insurance policy at the time of hire and throughout employment.
Certifications and/or licenses appropriate to the positions required education and profession must also be valid and maintained.
Character: Applicants must have a reputation for honesty and trustworthiness. Must be responsible and able to exercise good judgment, accept administrative supervision, pay attention to detail, follow instructions, including the ability to interact effectively and communicate with people in a professional and courteous manner. Must be highly confidential and work as a team with other staff. Able to calmly handle crisis situations. Applicant should be sensitive to client’s needs.
Skills: Team building, interpersonal, and organizational skills. Ability to establish and maintain effective peer relationships with coworkers within the Medical Department, clinic-wide, and the public. Must be able to express ideas clearly, concisely, address audiences effectively, and exercise balanced judgment in evaluating situations and making decisions. Willing to be part of a team and cooperate in accomplishing department goals and objectives. Ability to prioritize, meet deadlines, take initiative, be proactive, and function in a rapidly changing environment. Ability to work with people of all social and ethnic backgrounds and to resolve conflicts, negotiate situations, and facilitate consensus.
Other: Applicants must successfully pass a pre-screening, including a tuberculin skin test or x-ray and a blood/urine drug screening test. Health must be adequate to perform all duties of the position. Applicant must complete SIHC Application and Authorization Form, both must be submitted to Human Resources prior to the close date indicated.
INDIAN PREFERENCE:
INDIAN PREFERENCE: In the filling of any SIHC job vacancy, preference may be given to qualified Native American Indians, pursuant to the Indian Preference Hiring Act, 25 USC 472, unless other laws require the filling of a vacancy without regard to Indian preference (e.g. Public Law (P.L.) 94-437, “Indian Health Care Improvement Act (IHCIA). To receive Indian preference for any SIHC position, the applicant must be enrolled, or be eligible for enrollment, as an American Indian with their Tribe, or must be certified as an American Indian from the designated Tribal Representative. Applicants claiming Indian preference must attach verification of their claim to the SIHC application, including Certification of form BIA-4432, which is available from the SIHC Human Resources Department. If verification is not or cannot be verified, the applicant will not receive Indian preference for purposes of the interview.
