Office Administrator

Temporary Employment: 4 months with the possibility of transitioning to full time regular employment.

Maxxsure was founded in 2016 with the mission of developing a cyber risk quantification and management solution that takes internal and external company information on cyber risk posture of an organization so that organizations can prioritize their cyber risk remediation measures, make educated decisions on risk acceptance levels, and use concrete data to help determine appropriate levels of cyber risk insurance coverage.

Responsibilities:

  • Coordinate and lead maintenance, mailing, shipping, supplies, equipment, bills, food orders, errands, travel arrangements, and other executive requests.
  • Organize office supplies and inventory while overseeing adherence to office policies and procedures.
  • Partner with HR provider to maintain office policies as necessary.
  • Organize, schedule, and help manage meetings/appointments for executives.
  • Prepare printed documents for executive meetings.
  • Actively participate in the planning and execution of company events.
  • Provide general office accommodations to prospects/clients/visitors.
  • Prepare operational and financial reports.

Accounting Responsibilities:

  • Code bank transactions.
  • Manage and maintain client invoicing, billing, and accounts payable.
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
  • Ensure filing systems and records are current and maintained.
  • Manage and maintain commission calculators for resellers and sales staff.

Additional Responsibilities:

  • Management of investor documents and records.
  • Management of Company Health Benefits.
  • Provide and manage employment, contractor and advisor agreements.
  • Track employee PTO, Sick leave and remote work.

Office Administrator Requirements:

  • Associate degree or higher.
  • Office management, administrative, or assistant experience.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficient in Microsoft Office.
  • Knowledge of accounting, data, and administrative management practices and procedures.
  • Knowledge of clerical practices and procedures.
  • Knowledge of human resources management practices and procedures.
  • Knowledge of business and management principles.
  • Computer skills and knowledge of office software packages.

Job Types: Full-time, Temporary

Pay: $3,200.00 - $4,200.00 per month

Schedule:

  • Monday to Friday

Ability to commute/relocate:

  • Addison, TX: Reliably commute or planning to relocate before starting work (Required)
