Senior Helpers, the fastest growing non-medical home care provider, continues to expand Operations in the San Antonio market and is seeking an Office/Scheduling Manager. We are in need of a sharp, professional, detail-oriented, high-energy individual. This person will manage the day-to-day office administration and scheduling. Must have a minimum of three years’ of related work experience in small to medium size business.

Responsibilities include (but are not limited to):

  • Schedule and coordinate caregiver staff based on assessment and care plan information for new and existing clients.
  • Completes background and reference checks for all new caregivers and ensures new hire paperwork is processed and updated annually.
  • Assist Office staff with answering telephone calls, providing information to potential clients, solving problems for current clients.
  • Maintain necessary records related to long term care insurance, veteran’s programs, etc.
  • Creates new hire packets and employee handbooks.
  • Maintain all scheduling of caregivers and respond to situations where scheduling conflicts, emergencies and/or “call-outs” arise.
  • Accept and Participate in On Call Duty per Director or Operations.
  • Maintains and ensures caregiver files are up to date, including tracking expirations of any licensing, insurance, etc. in home care software.
  • Qualifications:
  • Experience in recruiting or HR on-boarding activities required.
  • Ability to multi-task and handle pressure situations with ease.
  • Ability to work independently and as part of a team.
  • Exceptional and verifiable customer service skills and experience.
  • Must have excellent organizational skills, attention to detail, and the ability to prioritize in a changing environment.
  • Proactive problem prevention and issue resolution leadership ability.
  • Proficiency in Microsoft Word, Excel, Internet, and Outlook required.
  • Strong verbal communication skills, especially using the telephone.
  • Ability to maintain confidentiality with sound decision-making skills based upon company policies and philosophy.
